Quick Tips

Crew Members must have an account set up by the Skipper before being able to log in.  Once an account is established, the Skipper will trigger an email with a message for the Crew Member to set their password.

Desktop Menu

The desktop menu provides access to all the Crew manager features.  The menu is organized to provide limited information for those not logged in, and full information for crew logged in.  The menu has a hierarchical structure outlined below.  Items listed with an asterisk (*) require the crew member to be logged in to view the content.

  • Home – returns to the home screen
  • Calendar – displays the boat calendar with selectable annual (default), agenda list, or monthly view and provides option to set availability for events
  • Boat – top level menu item
    • About (Boat Name) – page that Skipper may customize to display boat information
    • Photos – page that Skipper may customize to display photos or photo links
    • Results – displays list of race results
  • Crew – top level menu item
    • *Availability – allows crew to view and set availability for entire season
    • *Assignments – allows crew to see all events with crew and assignments for entire season, and allows setting availability 
    • *Regatta Registration Status – allows crew to see the entire schedule with the registration & payment status for each event along with the crew summary setting availability to Yes, Maybe or No for each event
    • *Roster – displays a crew roster with email & mobile phone numbers
  • Weather – displays an interactive Windy.com® weather map that may be toggled to a radar map
  • Links – page that Skipper may customize to display helpful links including organizations of interest, wind, weather, tides and a list of other Crew manager sites
  • Support – top level menu item
    • Documentation – link to Crew Manager documentation including the manuals and FAQs
    • Support Forum – link to support forum where questions about using Crew manager may be asked
    • Report a Bug – link to report a bug found in Crew Manager
    • Request a Feature – link to request a feature to be incorporated in Crew Manager
  • Log In / Log Out – context sensitive menu item that changes depending on the logged in state.  Allows crew member to log in or log out of the site.

Phone Menu

The phone menu has icons representing a subset of the desktop menu providing access to the most frequently used information.  The display is reformatted with the desktop right column appended at the bottom on the phone, which may be scrolled down to see more content. Menu items most frequently used appear as icons with a full menu available using the bars on the top right.  Click on the bars to open the full menu structure the same as the desktop.  The menu always remains at the top of the screen when scrolling. View an Event Summary

There are date “badges” showing the date and day of the week for each event.  These are displayed on various Crew Manager pages.  Wherever a date badge is shown, a pop up summary including the crew list is available by mousing over the badge.  On phones and tablets the pop up summary is activated by a soft touch with the flat part of your finger.  Touching or mousing outside the date badge closes the popup.

View my entire season. 

There are multiple ways to view the entire season via the menu: The desktop menu items are Calendar, Crew → Availability and Crew → Assignments .  Phone menu graphical icons are available for the menu items. Details with pictures are available at this link.

Availability menu option:

  • Log in on menu (it will display Logout if already logged in)
  • Click down arrow on Crew then click Availability or the Availability checkmark on phone
  • The current year season is displayed by event.  To select a different year, click the year dropdown and the screen auto updates.
  • You may change your availability to Yes, No or Maybe for all events at once using the Set Default Availability selector at the top of the column, then may edit individual events before submitting
  • Click  floating blue button labeled Submit Changes
  • The screen refreshes and the Skipper is notified automatically with any changes made

Add a Shortcut to Phone Home Screen

A shortcut to a boat’s Crew Manager website may be added to the home screen on Android or iPhones to allow easy access to the boat’s website. The following describes how to add the shortcut.

iPhone with Safari Browser

  • Navigate to your Crew Manager website via Safari
  • Click the “Share Arrow” at the bottom of your screen
  • Scroll to “Add to Home Screen”
  • You will be prompted to name the Bookmark, Recommend the Boat Name or just Crew Manager
  • This will now act like an “app” every time you click, you will brought to home page

Chrome Browser:

  • Navigate to your Crew Manager website via Chrome
  • Click the three vertical dots for the menu at the top right of the screen (to the right where the website URL is shown)
  • Click on “Add to Home Screen”
  • You will be prompted to name the Bookmark, Recommend the Boat Name or just Crew Manager
  • Click Add when editing is complete
  • This will now act like an “app” every time you click, you will brought to home page

Firefox Browser:

  • Navigate to your Crew Manager website via Firefox
  • Click the three vertical dots for the menu at the top right of the screen (to the right where the website URL is shown)
  • Click on “Page”
  • Click on “Add Page Shortcut”
  • Touch and Hold the Icon to place manually, or click on Add Automatically
  • This will now act like an “app” every time you click, you will brought to home page

Tip: If you have a page you use more frequently such as Crew Availability or Calendar, you could bookmark that.

View an upcoming calendar event

View an upcoming calendar event to see the details.  Change my availability & make comments for and event if logged in. Details with pictures are available at this link.

  • On the right column for desktops, scroll down on phones to see Upcoming events where the next 5 events are displayed
  • Mouse over the text for an event and a pop up summary is displayed
  • Click on the text to open the event and display the details
  • You may change your availability to Yes, No or Maybe if you are logged in
  • Click the floating blue button labeled Submit Changes
  • The screen refreshes and the Skipper is notified automatically with any changes made

View a series of calendar events

  • Click Calendar on the menu – it defaults to the annual view that displays all events for the current year. Mouse over a date badge brings up a pop-up to display the event.  Logged in crew may select the Update Availability radio button in the Annual view to enable data entry.
  • In the Agenda view click on the + symbol to expand a particular event and see the details, then click Read More if you want to see additional information
  • In the Agenda view click Expand All to expand all the events
  • You may change your availability in the Agenda and Annual views for a particular event if you have already set it and are logged in.  This may be set to Yes, No or Maybe
  • If you are logged in,  proceed to the next step.  Otherwise click the blue button labeled Login to Update Availabilityyou will then log in and be redirected back to the event where you may select from the Select Availability dropdown
  • Click the blue button in the event labeled Submit Availability Change
  • The screen refreshes and the Skipper is notified automatically with any changes made

View only One Design (PHRF, Social, etc.) events if Skipper categorized the event

Filter Events if Skipper categorizes events to view only selected categories (e.g. One Design PHRF, Social, etc.). Details with pictures are available at this link.

  • Click Calendar on the menu
  • Click the down arrow on Categories then click ONE DESIGN
  • Repeat to add other categories
  • Click the X next to Categories to clear selections and display all

View a Single Boat if Skipper has Multiple Boats

Filter Events if Skipper tags events to view only selected tags (e.g. race multiple boats such as J/22, J/35, J/109). Details with pictures are available at this link.

  • Click Calendar on the menu
  • Click the down arrow on Tags then click a desired tag
  • Repeat to add Tags for other boats
  • Click the X next to Tags to clear selections and display all

Search for a calendar event in Agenda view

  • In the Search box upper right type the desired search term, (e.g. Block Island) then click the magnifying glass or press enter
  • A list of items is displayed – Click on the desired event

Change Availability for an event

Change Availability for an event may be done via multiple methods – you must be logged in. Details with pictures are available at this link.

  • Crew Menu – On menu, click down arrow on Crew then click Availability or the checkmark icon on phones
  • The current year season is displayed by event.  To select a different year, click the dropdown, then click the Select Year button.
  • The season is displayed with events in calendar order
  • You may change your availability to Yes, No or Maybe for any event. At the top of the Availability column is a selector that sets the same availability for all events.  You may use this, then change selected events before the next step
  • You may provide a comment in the field next to the Availability.  Use it to provide relevant info such as “may arrive late from work” or “I’ll bring rum”.
  • Click the floating blue button labeled Submit Changes
  • The screen refreshes and the Skipper is notified automatically with any changes made
  • An Individual Event – Click on the text to open the event and display the details
  • You may change your availability to Yes, No or Maybe
  • Scroll to bottom and click blue button labeled Submit Availability Change
  • The screen refreshes and the Skipper is notified automatically with any changes made

View Assignments and Change Availability for an event

  • Crew Menu – On menu, click down arrow on Crew then click Assignments or the Assignments icon on the phone
  • The current year season is displayed by event.  To select a different year, and optionally select an event category such as One Design to filter use the dropdowns. The screen refreshes.
  • Entire season is displayed by event with a list of all crew and positions assigned
  • You may change your availability to Yes, No or Maybe for any event
  • You may provide a comment in the field next to the Availability.  Use it to provide relevant info such as “may arrive late from work” or “I’ll bring rum”.
  • Click the floating blue button labeled Submit Changes
  • The screen refreshes and the Skipper is notified automatically with any changes made
  • An Individual Event – Click on the text to open the event and display the details
  • You may change your availability to Yes, No or Maybe
  • Click the floating blue button labeled Submit Changes
  • The screen refreshes and the Skipper is notified automatically with any changes made

View Regatta Registration Status

View Regatta Registration Status – you must be logged in. Details with pictures are available at this link.

  • Crew Menu – On menu, click down arrow on Crew then click Regatta Registration Status
  • A list of the events by calendar year that the Skipper has scheduled is displayed showing the number of Crew responses, registration status and fee payment status
  • You may select a different year and filter for event types (e.g. PHRF, One Design) clicking the dropdown and the screen auto updates.

View Crew Roster

View Crew Roster – you must be logged in. Details with pictures are available at this link.

  • Crew Menu – On menu, click down arrow on Crew then click Roster
  • A list of the entire crew is displayed by name with email address and mobile phone
  • An option check box may be enabled by the Skipper for Crew to see SMS text messaging addresses when a Crew member opts to receive Text Messages in their profile
  • You may view various group lists by clicking the dropdown
  • Each email address is a link and phone number a link to dial when viewed on a cell phone
  • Next to your name is a (click to edit) link that allows editing information in your profile
  • A button at the bottom of the roster may be clicked to download a vCard file with all displayed in the selected group to your phone.  The downloaded file may be imported to your phone directory with the name, email address and mobile phone number.

Edit my Profile

Edit my Profile– you must be logged in. Details with pictures are available at this link.

  • Crew Menu – On menu, click down arrow on Crew then click Edit my Profile
  • A page with fields that contain information for your profile is displayed.  All fields may be updated except for Username.
  • The following fields are available to update: First Name, Last Name, Nickname, Display name publicly as (dropdown), Email, Password, *Mobil Phone Country Code, Mobile Phone, *Mobile Phone Carrier (dropdown), *Receive SMS message check box, Shirt, Jacket & Short Size dropdowns, Weight in Lbs. or Kgs, World Sailing Sailor ID, World Sailing Classification (dropdown), National Sailing Organization (e.g. US Sailing) Membership Number, *Opt out of All Posts emails (checkbox), Safety at Sea completion date, CPR/First Aid completion date
    *Note: The asterisked profile items may not be available if disabled by the Skipper. If your mobile phone carrier is not included in the list, email admin@crew-mgr.com with the carrier name and country.
  • The Skipper may enable more profile fields for special events such as the Newport to Bermuda race so that additional information may be tracked. These fields are grouped in sections including Passport information, Emergency Contact information and Travel information. There is help text for each field on the screen.
  • When updates are complete, scroll to the bottom and click the Update Profile button
  • Return to the boat website by mousing over the house icon located top left with the boat name, then click on Visit Site

View Results

View Results – you do not need to log in. Details with pictures are available at this link.

  • Boat Menu – On menu, click down arrow on Boat then click Results
  • The current year results are displayed by event.  To select a different year, or category, click the dropdowns and the screen auto updates.
  • If the Skipper entered results for an event, it will be listed and if the Skipper included a link to the results, clicking on a result opens a new page with specific event results.
  • The event name is a link to the calendar entry where the results are also displayed.
