Crew Manager Privacy Policy

Please read the Privacy Policy carefully to understand our practices regarding your personal data and how we will treat it. Please pay particular attention to the sections entitled “International Transfer” and “Your Rights.”

We need certain personal data in order to deliver the Services to you.

Your consent

By registering with us or submitting personal data through our Services, you expressly consent to the collection, use and disclosure of your personal data in accordance with this Privacy Policy. We will process your personal data in accordance with applicable data protection and privacy laws. When you register with us, you are required to consent to our Privacy Policy. This consent provides us with a legal basis under applicable law to process your personal data. You maintain the right to withdraw such consent at any time.

Information you provide us

For an individual user, the minimum amount of information we collect is your email address, a password, and your name. For orders we also collect your address and mobile number. If you register as a boat owner, we also collect boat type, boat name and home port to customize your website. There are user profile fields that permit you to collect information necessary to support domestic & international regatta entry including weight, World Sailing & US Sailing ID numbers with associated sailor classification, training completion dates, passport information, emergency contact information and housing information.  Additional fields for clothing sizes are provided so you may produce reports to purchase crew clothing. This information about your crew will be associated with your information.  We do not disclose or share any of this information outside of the crew who you enter on the website.

We may receive your information from third parties that provide services for us in connection with the Sites and Services, and Crew Manager may connect this information to your information that we already have.

Beyond the minimum information required to use the Services, we store data that you provide us for the Services. Examples include:

  1. Your contact information (e.g., phone number, physical address, etc.)
  2. Boat specific information (e.g., type, name, homeport, etc.)
  3. Schedule information (e.g., whether you plan to attend an upcoming event)
  4. Location information (e.g., your physical location at a given time)
  5. Device and software information (e.g., the type of mobile device and associated hardware and software information, the browser used to access our web service, etc.)

Like many online services, we use cookies to collect information. “Cookies” are small pieces of information that a website sends to your computer’s hard drive while you are viewing the website. We may use both session cookies (which expire once you close your web browser) and persistent cookies (which stay on your computer until you delete them) to provide you with a more personal and interactive experience of our Services.

Social Media Cookies

Information about how you use the site

We track how users use our Sites and Services including what pages they visit and what actions they take.

Information about your device or network

We track what types of devices you use to access our Sites and Services. We collect device attributes like operating system, screen size, browser, etc.

We also track what networks you come from including your mobile operator, ISP, and location.

For security purposes we also track device specific information such as your IP address and device specific identifiers such as IDFA.

Payment information

If you choose to purchase any of our paid services, you will need to pay using a payment card (e.g., credit or debit card). We use PayPal as third party payment card processing company to process payments in connection with the Sites and Services. These third parties have committed to Crew Manager to process your payment card information in a secure, PCI compliant manner. Your payment card information is processed and retained by these third parties and will not be passed on to Crew Manager; Crew Manager does not store your payment card information.

Provide, measure and improve services for you

Our primary use of your information is to deliver our Sites and Services for you to use.

We also use your information to measure and improve our Services. We look at this data in anonymous and aggregate form to determine things like how many users in total are using a given feature.

We also access information from third parties that provide analytical data. Our primary analytical service is Google Analytics. We use that information to improve the effectiveness of Crew Manager and make the service easier to use. We analyze the data in the aggregate, rolling up the data across many users to better understand how Crew Manager is being used at a macro level. During the process of developing, troubleshooting and administering the Site and Services, it may be necessary to look at pieces of your information to improve the Services and user experience, offer you additional information, opportunities and functionality, respond to requests that you make, resolve a problem or dispute, investigate potential security issues, or verify your compliance with our terms of use. Also, when you write us to request support, our customer support representative may look at your information in order to assist you. We may also access and use your information to compare information for accuracy and verify it with third parties or to comply with applicable law or legal process.

Data you share through the Sites and Services

The Sites and Services offer a number of ways to share content with members of your crew both privately and publicly. Private information such as first & last name, email address and phone number are shared with all crew members.  Other crew profile information stored is only accessible to the Skipper, Skipper admin and limited personnel who have full site administrative privileges for technical support.  This data may be downloaded by the Skipper. Information displayed to the public (e.g. a person browsing the site that is not logged in) will only see a crew member’s display name that may be set by each user.  Typically it is just a first name, nick name, or anything the crew member would like to display.  In all cases the data shared is driven by the users.

We also access your information from third parties to improve the Crew Manager Sites and Services. For example, we access information about your location, determined from your IP address or mobile device location information, to personalize your experience. We may use this information to provide you with weather or other information that pertains to your location.

Vendors and service providers

Crew Manager employs third parties to host its website and perform services, as further described below. The website is hosted on servers maintained in the United States.  These third parties operate components of the Crew Manager architecture. Crew Manager relies on these third parties to maintain the safety and security of your information.

We may share your information with third-party service providers to: provide you with the Sites and Services that we offer you; to conduct quality assurance testing; to facilitate creation of accounts; to provide technical support; and/or to provide other services to Crew Manager or to you.

New owner

We may share some or all of your information in connection with or during negotiation of any merger, financing, acquisition or dissolution transaction or proceeding involving sale, transfer, divestiture, or disclosure of all or a portion of our business or assets. In the event of an insolvency, bankruptcy, or receivership, your information may also be transferred as a business asset. If another company acquires our shares, business, or assets, that company will possess your information collected by us and will assume the rights and obligations regarding your information as described in this Privacy Policy. Although we currently do not have a parent company, any subsidiaries, joint ventures, or other companies under common control with us (collectively, “Affiliates”), we may in the future. You hereby agree that we may share some or all of your information with these Affiliates. We will require our Affiliates to comply with this Privacy Policy.

Legal compliance

Regardless of any choices you make regarding your information, we may disclose your information (a) in connection with any legal investigation; (b) to comply with relevant laws or to respond to subpoenas, warrants or other legal process served on us; (c) to protect or defend the rights or property of Crew Manager or users of the Site and Services; and/or (d) to investigate or assist in preventing any violation or potential violation of the law, this Privacy Policy, or our Terms of Service. In these cases, we provide only the data requested to be legally compliant.

Managing your information

If you are a registered user, you may review, update, correct or delete your information by logging into the site associated with your Crew Manager account. If you are unclear about how to do this or have concerns, contact us at admin@crew-mgr.com.

Opt-out. You may contact us anytime to opt-out of: (i) direct marketing communications; (ii) automated decision-making and/or profiling; (iii) our collection of sensitive personal data; (iv) any new processing of your personal data that we may carry out beyond the original purpose; or (v) the transfer of your personal data outside the EEA. Please note that your use of some of the Services may be ineffective upon opt-out. Despite your indicated email preferences, we may send you service-related communications, including notices of any updates to our Terms of Use or Privacy Policy.

Access. You may access the information we hold about you at any time via your account, where applicable, or by contacting us directly through our support site at Crew Manager Support Center

Amend. You can also contact us to update or correct any inaccuracies in your information.

Move. Your personal data is portable – i.e. you to have the flexibility to move your information to other service providers as you wish.

Erase and forget. In certain situations, for example when the information we hold about you is no longer relevant or is incorrect, you can request that we erase your information, by contacting our support site at Crew Manager Support Center. We retain the right to retain your information for up to 60 days after we process your deletion request.

Photos, crew schedules and other information may be maintained by the crew or group managers. If you have concerns about that information, contact your crew or group manager or drop us a line at admin@crew-mgr.com.

We may communicate with you at various times, with administrative emails or phone calls, about transactions and service announcements, customer service responses and promotional emails like special offers, newsletters and updates. You can choose to stop receiving promotional emails at any time simply by changing your preferences, unsubscribing through the applicable Sites and Services, or using an email's unsubscribe function. You may not opt out of receiving administrative messages or customer service responses, unless you delete your Crew Manager account. If you have agreed to receive marketing communications through interactions with our partners, you must change your communication preferences with them directly.

If you choose to invite others to use Crew Manager, we ask you for your friend's email and possibly their name. We will automatically send your friend a copy of the email. Crew Manager or our service providers store this information for the sole purpose of sending this one-time email. Your friend may contact us at Crew Manager Support Center to request that we remove this information from our database.
