- An automatic script will run once per day
- The script checks each event that is marked with a date recorded in each event fees_paid field. If the date is less than or equal to 5 days from the current date, an email will be sent to the Skipper.
- The email content would be
Hello [Skipper name],
The [event name & link] scheduled for [event date] requires that registration fees be paid by [date fees due].
** if the link (e.g. Yachtscoring page) is saved in the "External Tickets" field the following line is included***
The fees may be paid at the following link: [link from external link field].
After paying the fees [click this link] to update the fees_paid field to "Yes".
**Note the link will automatically update the fees_paid field if the Skipper is logged in, otherwise a login link with redirect to the event for updating the field is provided. - The email will be repeated daily until paid, or past the event.
Feature Incorporated: Remind Skipper Payment due for Regatta
Feature Incorporated: Remind Skipper Payment due for Regatta
I'm adding this as a concept for future updates and am proposing an approach so Skippers may comment. Skippers may use Crew Manager for Tracking Regattas Registered & Paid Status as explained in this FAQ. It is proposed that an automatic notification be provided as a reminder to pay the registration fees. The following is a proposed approach to handle this.
Re: Feature Incorporated: Remind Skipper Payment due for Regatta
This feature has been incorporated into all sites. Each day at 5am a check will be made on upcoming events. Any event that has a date in the fees_paid field that has not been marked as paid will trigger a reminder email to the Skipper. The user documentation will be updated and posted shortly. In the interim, use this:
Custom Fields: There are pre-defined fields labeled registered and fees_paid. The first is used to indicate when the Skipper has registered for an event by entering “Yes”. The fees_paid field may include a date in m/d/y format along with text. Something such as “Payment due 7/23/2019”. In addition to these fields, the Skipper may put the Event Website URLin the Organizer & Contact section for the event. The payment URL such as the Yachtscoring Link may be put in the Event Cost & Tickets section by selecting External Tickets and entering the link in the field labeled Tickets URL. When the URLs are entered for the event and payment the Regatta Registration Status report will display links to easily access the target locations. An automatic email reminder is sent to the Skipper 5 days prior to the payment due date listed. When payment is made, the fees_paid field should be updated to include the word “paid” so that reminders will not be sent.
