I received a request from Jessica & Gary who run the Baltic 51 High Note program. They are doing the Newport to Bermuda race and have been passing a spreadsheet around to get crew information in support of the race. They requested that Crew Manager provide the ability to:
  1. Include additional crew profile fields to capture information required for the race logistics
  2. Display a screen where the Skipper may run a report with the crew information fields
  3. Export the information so it may be incorporated into an Excel spreadsheet

This feature has been incorporated on all sites.

The Skipper may enable extra Crew Profile fields to gather information that may be required for international & distance races such as Newport to Bermuda. Once collected, the Skipper may generate a report with the desired information and export to an Excel spreadsheet as explained in the post Create Custom Crew Reports & Download to Excel. The extra fields are turned off by default. The Skipper must enable these fields via the Crew Manager Modify Settings screen in WordPress Admin. The following setting is available.

Extra Crew Profile Fields Enable or Disable: This allows the Skipper to enable extra fields to be displayed on each Crew profile by checking a checkbox. The fields are:
  • Email Optout where crew members may opt out of receiving All Posts and comments emails. Event reminders will always be sent no matter what Optout setting is used.
  • Passport enables fields to input passport information and home address.
  • Emergency enables fields to enter information for an emergency contact person.
  • Travel enables fields to capture destination arrival & departure dates, accommodations, and travel mode back (e.g. Boat Delivery or Other Transportation).

Once enabled, the Extra Profile Fields will be visible when adding new Crew and for existing Crew when editing their profile. Below are screen shots with the extra fields.

Crew Manager can produce custom reports for a selected group using any of the fields available in a user’s profile. This includes additional fields the Skipper may enable for Passport Information, Emergency Contact and Travel information as explained in the post Extra Crew Profile Fields for Passport, Emergency Contact & Travel. Typically this information is required for international distance races such as Newport to Bermuda. The Skipper may select fields using check boxes to include in the custom report. Once the report is run, a button is available to download the file in CSV format so that it may be directly read by Excel.
  • The Skipper logs in and selects from the Skipper menu Custom Reports
  • A group dropdown allows selection of predefined and custom groups. Select the desired group, and check boxes for the fields to be displayed, then click the blue button next to the group dropdown to update the display

  • The customized report for the Active Crew List is displayed below with passport information. The blue Download active.csv button may be clicked to download a CSV formatted file that has the same information as the screen report. Note that there are so many fields available, it is possible to produce a report that is difficult to see on the screen. Downloading this as a CSV file and opening in Excel allows formatting as desired.
